Agree 100% With Stef!

At meetings across south wales we have set the expectation with the venues and the team at every breakfast are there and set up by 7.30. This means they can remove chairs and place settings if needed and add if we have extras. I agree I hate it when there are too many settings!

The words we consistently use the words are "we guarantee a warm welcome" and even if people just rock up that is guaranteed.
We keep in touch with the staff at venues for any last minute tweaks and an alert team can resolve any extras or cancellations on the day.

My only concern with late bookings and those who "just turn up" is the few with special dietary needs. This isn't usually a problem with the venues in this area as alternatives to full english are normally available off the shelf. It's the evening meetings where the menu tends to be less flexible and alternatives less easy to come by that could be a problem.

I would most definitely not want to see a cut-off for bookings because I know most people try to inform the team as far in advance as possible of their changing plans, even if it's a text just as the meeting starts.
