As the Ops assistant for Bath I am currently ringing round to confirm attendance for the meeting tomorrow morning and have two questions.
Firstly, I am finding a lot of incorrect telephone numbers in the admin system and also note that my email address is showing as incorrect in the booking system despite having changed it in my profile over a week ago and despite all emails relating to meetings and PMs etc all coming through to my new address.
Also, what do people think about the whole issue of being confirmed. I can see the arguement for confirming numbers but there is also an arguement that says if someone books in they have already confirmed they are coming. Maybe one of the web developments for next year could be taking the payment at time of booking maybe?

I think that has merit Jules.
One of our biggest strengths and the thing that separates us from the other breakfast networking groups is the lack of mandatory attendance. This of course is a hassle for group leaders and ops assistants and venues to a degree, because we can't be clear about numbers in advance and a number of people simply don't show up on the day, even if they are booked in.
There is a lot of talk about how to deal with this, some venues charge us for the number we confirm to them, not the number that turn up, so it can be problematic.

Jules, any issues to do with the running of the group (including confirmations) should be addressed with Helen (and Kim) - they are responsible for ensuring that 4N procedures are followed. Confirmations are part of the process and many people have raised the issue and that of payment over the last 2 years - the processes we use now are a result of trial and error and work pretty well :-)
With regards to incorrect information on the system, make a note of each detail that's incorrect and then ask your Area leader to ensure that the details are corrected.

I agree with both of you and I yes the system works pretty well. I dont have any issues with doing the confirmations its just that out of 17 people booked I have so far had 9 who dont answer the phone and 2 wrong numbers which makes it quite a tedious process and after 4 hours we arent really any closer to knowing exactly who's coming. Has to be said all the weeks I've been involved at Bath we have had very few no shows. In fact ironically the only no show I can recall (and I wont name names) was someone who I rang the day before and his PA confirmed that he would be coming....!

Oh stop stirring Ian D...there are no issues with the running of the group thank you - Jules was just pointing out something that is a necessary evil but can be very frustrating when even after confirmations you get a no show!

Confirmations are imperative. Agreed, confirming by phone can be tedious - however this can be managed by sending an email two days prior to the meeting asking simply for a Y or N response. You then only need to follow-up 10-20% by phone. The confirming process as well as being important for the event is also another way of developing those important relationships. It should not be a chore.
